Are Your Favorite Tools Secretly Training on Your Data?

You might think of ChatGPT or Claude as the AI main characters, but the truth is: AI is now embedded in tools you’ve been using for years. Zoom, ClickUp, Adobe, Microsoft, Miro—they’re all getting smarter. The question is: how much are they learning from your content?

Old Tools, New Rules

Take Adobe, for example. Before AI, you’d open a 100-page document and search for “deliverables.” You’d find the word 27 times and skim until you hit what you needed. Now? Adobe’s AI Assistant will read and understand your document. You can ask, “What are the acceptance and rejection terms for deliverables?” and it’ll tell you—in plain English.

Convenient? Absolutely. But what happens to the knowledge it gains from your document? Is it kept private? Or is it stored as training data that is accessible to other users?

Bottom line: It’s not about being anti-AI. (I am pro AI.🦾) It’s about using AI intentionally.

  • Audit your tech stack. Know where AI is hiding.

  • Read the fine print. Look for explicit language about how your data is stored and used.

  • Opt out when necessary. Yes, you may lose functionality. But for sensitive info, the trade-off is worth it.

  • Decide based on context: AI for public content? Fine. AI for client data? Tread carefully.

  • Create an AI usage policy for your business or team. This isn’t optional anymore.
